​1. Place a shortcut to a website on my desktop?

  A. Go to a website and then use these 3 methods: 

     1. Click File – Send – Shortcut to Desktop

     2. Grab the blue “e” next to the web site’s address and drag it to your desktop.

     3. Right-click on any blank spot on the web page and choose “create shortcut” from the drop             down menu.  Click OK.

Note: If using method 2, you would not want your internet window maximized. You need to see part of your desktop. 

 

 

 

2. Create a folder?

    1. Right-click on your desktop.

    2. Choose New - Folder.

    3. Type the name of the folder.

Note: If you accidentally click off the folder before giving it a name, right click on it and choose "rename." 

 

 

 

 

3. Open a link in a new window?

   1. Right-click on the link, and choose “open in new window” from the menu choices.

 

 

 

4. Create a template?

   1. The easiest way is to save the file as usual, then right-click on the file, choose “Properties” and           click “Read Only”

   2. You can also save PowerPoint, Excel, and Word documents as templates by choosing “design             template (PP), “template” (Excel), and “document template (Word), from the drop down menu in       the Save As Type field.  The advantage of this method is the document icon looks different               (yellow bar at the top).

   3. Publisher documents have to be made “read only” as in #1.

5. Insert a video into a PowerPoint presentation?

   1. Create a folder for you presentation and video.  They must be located in the same folder in case      you need to show your presentation from a different computer.

   2. Save your presentation into this folder. 

   3. Download your video into the same folder.

   4. To insert the video, go to Insert – Movies and Sounds – Movie from File.  Locate the video in the         folder you created for this presentation.

   5. Click Insert.

   6. You will be asked if you want the video to play automatically or not.  I like to choose yes then           change it later if necessary. 

Note: It is always best to save the video to the folder before you insert it. Otherwise it won't play if you move the video to the folder later (or any other folder!). 

 

 

 

 

6.  Insert a saved audio clip (.wav, .mp3, or .mid) into a PowerPoint presentation?

 

   1. Save the audio clip in the same folder as your presentation just as you did for the video.

   2. Go to Insert – Movies and Sounds – Sound from File.  Locate the sound file in the folder you             created for this presentation.

   3. Click Insert.

 

 

 

 

7. Record an audio file for a presentation?

   1. Method 1:  Go to File – Insert – Movies or Sound – Record Sound.  Use the recorder that pops up        to record your sound (red button starts recording, black rectangle stops recording).  Give the          sound a name if you like.  Click OK.  Note:  This method embeds the sound without the need for        saving it into the folder.

   2. Method 2:  Use the Window Sound Recorder to record the sound and save it as a file for                   insertion later.  Go to Start – All programs – Accessories – Entertainment – Sound Recorder.               Make sure you save the file in the same folder as the presentation

 

 

 

 

8. Add Action Buttons to my Slides?

   1. Click the “Auto-Shapes” button on the drawing toolbar.

   2. Choose Action Buttons – then choose whichever button you need and “draw out” the shape on         the slide.  It can be resized, moved and re-colored later if you want.

   3. In the window that appears, choose a “mouse click “or “mouse over” action (none, hyperlink,             play a sound, etc.)  Click OK.

Note: MOST objects (image, text box, etc) can be used as an action button by right-clicking on the object and choosing "action settings." 

 

 

 

 

9. Make a slide so that when it is clicked, nothing happens?

Note: Doing this will help ensure that young students will not inadvertently click in a blank area of a slide causing the slide show to end or advance to the next slide prematurely. 

 

   1. Slide show – slide transition

   2. Remove the check mark next to “on mouse click”

   3. Apply to all slides

     

 

 

 

 

10. Write on a slide during a presentation without closing it?

There are a number of reasons you might want to write (annotate) on a slide during the show (circle letters, parts of speech, underline important words, etc.)

   1. To do this, right-click and choose Pointer Options – Pen Color.  The notes can’t be saved (until          version 2003).

   2. To keep the pen pointer active through-out the show, use the space bar to advance through the       slides (or the arrow buttons to go forward and backward).

   3. To change back to the regular pointer, right-click and choose Pointer Options - Automatic.

11. Create an image from a screen shot if I don’t have Snag-It?

   1. If there’s an image you would like to take from a web-site, but aren’t able to copy the image or        save it, print the screen and crop it.

   2. Press the PrntScrn key.  Nothing appears to happen, but the screen shot is on the clipboard.

   3. Return to your slide or other document and “paste” the screen shot.  Don’t be alarmed at its             large size.

   4. Use the crop tool on the picture toolbar to crop the screen shot down to just what you need –         logo, i.e.

   5. Use this new image as you would any other.

 

12. Search for someone by their last name in Outlook?

   1. Click "New Message".

   2. Click the "To" button next to the bar where you would normally type someone's name.

   3. When the box pops up, click "Advanced Find" (it's in blue) towards the top. 

   4. Type the person's last name in the correct field.

   5. Ta da!!! It will bring up a list of people with that last name, so no more guessing what Mrs.               Fratangelo's first name is!
